Quote Catalog Administrator

The quote catalog administrator is responsible for configuring and managing quote configurations, including products, options, shipping costs, authorized approvers, terms, checklists, tags, and sales tags. They directly influence the options available to the salesperson and quote processor when they generate quotes for potential customers.

Defining Products and Options

Products and their available options are configured in the Quote - Products and Quote - Product Options tables. These tables define the pricing list, customer-friendly product names, marketing description, minimum quantity, and other relevant information set by the management team. Adding Product to Quote Configuration

Creating a product catalog begins with configuring products and associated information. Products are divided into single products and option groups, as follows:

Single Product

A standalone item available for sale. It can be linked to other products as a Product Option or Suggested Product.

  • Product Option allows you to pair a single product with specific variations, offering customers useful and related products. For example, you can pair Rock Imager 360 as the parent with Imager PC as the product option.

  • Suggested Product is a recommendation that appears alongside the single products in a quote. It is marked with a blue thumb icon BlueThumbIcon in the Configure Quote window.

Product Option and Suggested Product have Item ID#.

Manual & Automatic

Option Group

An option group is a “dummy” product used to prepare a bundle or package of items requested by a salesperson. This bundle allows multiple related products to be grouped together by designating the dummy as the parent, with related products linked to it.

For example, an option group named “RI360 Temperature Option” includes different product options based on operating temperature.

An option group does not have an Item ID#, but the related options do.

You can manually add a product to the quote configuration by creating a record in the Quote - Products table.

Use the Generate Quote Product action after selecting an item in the Items table. TIGA will automatically check the checkboxes for Instrument, Consumable, and Service Estimates.

You can only add Service Parts items to Instrument and Consumable quotes.

Use the Import Parts button when configuring the quote. TIGA then directs you to the Items table to select the item.

Configuring Shipping and Installation/Service Cost

Shipping and installation/service costs are important in determining the final pricing across various quote types. These costs can depend on factors such as product family, business unit, sales zone, and the destination used for quotes where region-specific pricing applies. Shipping costs are automatically calculated based on the product family, sales zone, and business unit set by stakeholders in the Quote - Shipping Zone Cost table.

Installation/service costs have a default price of 1500 USD, as defined in the Quote - Service/Installation Zone Cost table.

The installation costs remain the same if multiple instruments are added to the quote.

Consumable

The quote processor/salesperson must apply a shipping cost manually when configuring the quote based on weight and the sales zone.

No installation costs are applied.

Service Contract

Shipping costs may be included within the contract or charged separately based on the specific needs of the customer.

Shipping cost depends on the line item chosen, such as “Shipping” line item.

Setting Maximum Discount Limits for Authorized Approvers

The quote catalog administrator decides who can approve quotes with discounts beyond certain limits in the Quote - Authorized Approvers table. Each approver has a Max Discount Approval % to approve either Sales (Instrument & Consumable) or Service Contract quotes. If a discount exceeds the limit of the first approver, TIGA automatically adds the Vice President of Sales & Service Contracts as an approver with a maximum limit of 100%.

Managing Sales Terms

Sales terms help each party agree on a set of expectations and avoid disagreements that might cause conflicts over a quote. Terms are created in the Quote - Sale Terms / Checklist table. TIGA fetches and displays them in the Terms section based on the product and its sales tags. The salesperson can add or remove terms from the quote before finalizing it. The types of terms that can be used in the quote include both regular and custom terms. The following table outlines the different term types and their descriptions:

  • Special Terms: These terms appear first in the quote PDF and are prioritized as Order 1 in the Quote - Term / Checklist table.

  • Default Terms: Pre-configured terms that appear automatically for specific quote types.

Terms for Service Contract quote are still hardcoded in TIGA, but the quote processor or salesperson can add custom terms when configuring the quote.

Arranging the Checklist

The checklist guides the salesperson through the quoting process by ensuring all necessary actions have been applied to a quote. The quote catalog administrator creates and manages these checklists for internal use only, which are configurable in the Quote - Sale Terms / Checklist table. Assigning Tags & Sales Tags

In TIGA, tags and sales tags work together to organize products, terms, and checklists in quotes. Tags provide general categorization, while Sales Tags specifically link terms and checklists to products.

Tags serve as general labels to organize terms or checklists by categories and can represent the following attributes:

  • Product Family: FLO, NT8, FAST, etc.

  • Business Unit: LH, PC, Cell.

  • Specific categories: Default or Barcode Printer.

Sales tags connect predefined tags to specific products, terms, and checklists. When a product with an assigned sales tag is added to a quote, TIGA automatically pulls in the correct terms and checklists based on the assigned sales tags.
