Item Requests Overview

The Item Requests table streamlines the request process for support or stock replenishment. With this feature, the requester can:

  • Request items to address a Case record or problem at a customer site.

  • Manage a shipment address to send items to a Formulatrix warehouse or somewhere near a demo site.

  • Replenish stocked items in the target warehouse.

  • Track requested items.

  • Requesting/Returning Items

    The field support engineer (FSE) or production manager (PM) requests that items/parts from a Formulatrix warehouse be sent to another Formulatrix warehouse or customer site. If any parts remain unused, the FSE can use the Item Request table to return the parts to the source warehouse. Upon submitting the request, TIGA automatically updates the status to Submitted.

  • Processing Request

    The “Exim” team coordinates with the “Warehouse” and “Packing” teams to prepare shipments for requested/returned items and manually updates the status to In Progress.

  • Receiving Items

    The “Warehouse” team or requester has to receive the requested/returned items upon arrival. TIGA then automatically updates the record status to Fulfilled or Fulfilled (Partial).

Each Item Request type has a particular use case.

Field Service Parts Request

Replaces parts in the customer’s instruments.

Note

This type is linked to the Case table or Quote if the customer has a service contract. The FSE must perform the logging part replacements in TIGA immediately after using the parts.

Field Service Parts Return

Returns unused parts to a Formulatrix warehouse.

Field Service Warehouse Replenishment

Stocks/replenishes parts in a support warehouse.

Note

The production manager maintains stocked parts in the Support warehouses to assist the “Support” team. Read more about setting minimum stock quantities.

FSE Toolbox Request

Replenishes parts in the Field Support Engineer (FSE) toolbox; for example, cables, chips, or other consumable parts.

Engineering Request

  • Ships parts/instruments for engineering testing.

  • Transferring items between warehouses for inspection or removing bad parts from the FUSA warehouse.

Item Request and Item Request Line Items Field Description

Each item request must have at least one line item. The requester needs to create an Item Request Line Items record to list the requested items. Read the following field descriptions in the Create New Item Requests and Create New Item Request Line Items windows to help you fill in the correct information.

Lists warehouses to request items from.

Target Warehouse

Lists destination warehouses.

Requester

Automatically displays the record creator. This field is editable through the LinkButton and BlueEllipsisButton buttons.

Status

Displays the item request’s status as follows:

  • Draft: It is the status of a newly created record.

  • Submitted: The Item Request is submitted, and a notification email is sent to the “Exim” team.

  • In Progress: The requested items are being prepared.

  • Fulfilled: The items arrive in the Target Warehouse and are confirmed.

  • Fulfilled (Partial): The items arrive in the Target Warehouse and are confirmed, but there are discrepancies between the received and requested items.

ID

Auto-generates unique numbers to indicate the record’s sequence.

Case#

Lists Case for a Field Service Parts Request type.

Quote#

Lists Quote if the customer has a service contract.

Note

This field is only available for a Field Service Parts Request type.

Allow Partial Shipment

Lists two options: Yes and No. Select Yes if the requested items can be split into multiple shipments. Otherwise, select No.

Important

Selecting No may delay the shipment if some requested parts are unavailable.

Need to Arrive By

Gives the expected arrival time.

Request Notes

Displays additional information about the requested items.

Date Created

Displays the record’s creation date.

Legacy SE#

Displays information related to Service Estimates.

Quick-fill Shipping Info below using either:

Displays the actual receiver information. Complete the Contact or Prior Request field by clicking the Blue Ellipsis BlueEllipsisButton button. Filling in one of these fields automatically generates the Shipment Information (For Returns, this is the “From” Info) section based on the customer’s information logged in the Accounts table.

Auto-generates actual receiver’s details based on the Quick-fill Shipping Info below using either information. You can manually fill in this field if you do not specify the Contact or Prior Request field.

Item Request Line Item

Field Name

Description

Item ID

Lists the call number of an item.

Item Description

Displays information related to the item.

Quantity

Specifies the amount of the requested items.

Is Partial Received

Displays receipt information. This field is checked automatically if the Item Request status is updated to Fulfilled (Partial).

In Stock

Informs the number of available parts in the selected warehouse.

Warehouse Name

Informs the location of the selected items.
